Example concept

Prepare the work.
Keep control of decisions.

A process could collect data, prepare a draft and submit it for review. Where AI makes sense and which steps need to be approved is determined beforehand.

  1. 01Identification

    Collect recurring steps together.

  2. 02Preparation

    Targeting data and designs.

  3. 03Release

    Examine and further process results.

01 / Possible implementation

Automation of recurring office and business processes

An automated business process starts with a defined trigger and ends with a testable result. In between, data, responsibilities and approvals are assigned. Missing inputs or interrupted transmissions receive a planned processing path instead of getting stuck in the process unnoticed.

  • Pass on data between coordinated work steps.
  • Create memories and tasks from defined events.
  • Error cases and required approvals specifically to responsible persons.

02 / Possible implementation

Automatic document and PDF creation

Reports or other documents can be prepared from already existing information. Templates determine structure and text modules; the data source provides the agreed content. We clarify when a draft is created, which examination is required and how the released version is filed.

  • Transfer order or project data into a suitable template.
  • Prepare reports and PDFs from selected data.
  • Make designs available for consideration before shipment or filing.

Dashboards and operational evaluations

A dashboard should answer specific questions: Which processes are open, where is feedback missing and how does a selected key figure develop? We determine calculation, data source and timeliness. Filters and detailed views help to move from an eye-catching number to the associated process.

  • Present data from appropriate sources in a common overview.
  • Filter key figures by order, period or area.
  • Emphasize anomalies and open processes specifically.

Replace Excel solutions with custom software

A grown Excel solution often contains valuable rules, but also manual work steps. We collect formulas, inputs and special cases together. This can result in an application with targeted processing, roles and comprehensible calculations; known results serve as a comparison for the conversion.

  • Include existing columns, formulae and specific cases together.
  • Configure input forms and calculation rules to fit the sequence.
  • Schedule data migration and comparison with existing results.

Services in detail

Automation begins with a clear process.

Not every recurring work step requires AI. Fixed rules are suitable for assignments, calculations or reminders. AI can help with unstructured texts and drafts. We separate these tasks and determine which result can reliably continue to run automatically and where a check remains useful.

Exceptions from the beginning co-plan

Missing information, conflicting data or an unreachable target system are part of the process. An automated process therefore requires a visible status, a responsible contact person and a defined path for corrections or repetitions.

Examine the benefits of the specific process

For a pilot, we choose a frequent, easily delimitable work step. We then compare, for example, processing time, manual rework and completeness. Only when the results match the agreed goal, the scope is expanded.

Implementation questions

What can be automated without AI?

Includes recurring data transfers, calculations, template documents and status messages. If inputs and rules are unambiguous, the process can often be described directly and checked using fixed examples.

Can a complex Excel file be the basis?

Yes. Tables, formulae and special cases often already show the technical logic. We also check manual intermediate steps so that no tacit assumptions are lost when transferred to an application.

How do we start if it is still unclear whether AI helps?

You show a typical process and the desired result. We look at the available data and error tolerance. A limited comparison with example tasks makes the suitability more assessable.

Technical implementation

Execute automated processes in a controlled manner.

For technical planning, we distinguish between fixed rules, AI-assisted processing and steps that require a human decision.

Triggers and repetitions

A process can start through a form, schedule or system message. We clarify unique process identifiers, waiting times and repetition rules. The same trigger should not generate the same invoice, message or task multiple times.

Examine and release results

AI outputs require appropriate examinations for format, completeness and professional use. Write accesses to other systems are authorized separately. Unclear results are given a visible way to query or manual processing.

Making mistakes and effort visible

Logs, run status and notifications help detect failed steps. Limits of use, costs and processing time are also planned. For new rules or models, known example processes are checked again.

Helpful for planning

A complete sample sequence, typical exceptions, the programs involved and the desired boundary between automatic and release are helpful.

Discuss technical requirements

Built around your existing setup.

Build on what you have

Automation starts with your actual sources and interfaces. A tool must fit the data and programs you use.

Suitable for use

Which data an AI is allowed to process, which model fits and where people check, we clarify before the implementation. Results need appropriate controls.

With a clear start

A recurring, well-writable process is suitable as a start. Benefits and limits can be judged on the prototype itself.

What do you want to simplify?

You show me your process. Together we look at which custom solution fits this.
